River’s Edge Counselling Centre is a well-established, relationship-centred mental health practice serving individuals, couples, families, and groups in St. Albert and surrounding communities. Our work is grounded in care, professionalism, hospitality, and service — not only toward clients, but toward the therapists and staff who make the work possible.

The Centre is led by the Director, who provides overall operational direction, culture-setting, and leadership. The Office Manager plays a vital supporting role in carrying this vision forward through the day-to-day functioning of the practice.

The Role

We are seeking a full-time, on-site Office Manager to support the smooth, people-centred operation of River’s Edge Counselling Centre.

This is a hands-on leadership role for someone who leads by example, stays close to the day-to-day work, and takes pride in contributing to a calm, well-run, and welcoming environment. The Office Manager supports the Director’s leadership by ensuring that systems, workflows, and administrative practices reflect the Centre’s values and priorities.

This role is well suited to someone whose professional identity is rooted in administration, coordination, and day-to-day operational leadership, and who is looking for a long-term role with depth, trust, and responsibility.

Providing steady, on-site leadership to the administrative team. Staying operationally current by regularly doing the work you lead. Noticing patterns, asking good operational questions, and contributing to thoughtful system improvement over time. Representing River’s Edge professionally and warmly within the St. Albert community. Tracking and reviewing key practice metrics and operational data in order to support clarity, efficiency, and informed decision-making. Supporting culture-building initiatives and contributing to the overall experience of team life within the Centre.

Core Responsibilities

Office Operations & Systems

Oversee daily administrative operations of the Centre in alignment with the Director’s guidance. Maintain, improve, and document systems related to client intake and scheduling, billing and third-party invoicing, and internal administrative workflows and procedures. Track operational data and trends and bring observations to the Director. Support implementation and effective use of clinic software and tools. Gather, organize, and maintain internal reports related to bookings, cancellations, billing flow, and administrative efficiency. Develop, update, and maintain administrative manuals, policies, and procedural documentation as systems evolve. Support project-based work with the Director related to operational improvements, new initiatives, or system changes.

Intakes & Billing (Hands-On Leadership)

Regularly perform and backfill client intakes and billing and payment processes. Step in during staff absences, vacations, or high-volume periods. Maintain operational fluency by staying actively involved in the work being led.

Administrative Team Leadership

Provide day-to-day guidance and coordination for the administrative team. Coordinate scheduling, coverage, delegation, and cross-training. Support onboarding and orientation of new administrative staff. Take the lead, with the Director, in hiring administrative team members. Address concerns promptly and thoughtfully, escalating to the Director when appropriate. Provide training to administrative staff on systems, processes, and service standards. Support orientation and training of therapists and practicum students on administrative systems, scheduling platforms, communication tools, and Centre policies. Monitor team effectiveness and identify opportunities for skill development and process refinement.

Hospitality & Office Environment

Support a warm, professional, and welcoming client experience. Help ensure shared office spaces and client areas are well cared for. Model a culture of presence, shared responsibility, and practical care. Step in where needed to support the overall functioning of the Centre. Coordinate logistics for team meetings, internal trainings, and workshops, including room setup, technology setup, and meal arrangements as needed. Ensure administrative and hospitality details are thoughtfully executed for Centre events and initiatives.

Director Support & Community Presence

Work closely with the Director on operational matters. Participate in hiring interviews, team meetings, and internal planning as needed. Accompany the Director to community and professional events when appropriate. Represent River’s Edge with professionalism, warmth, and integrity. Support onboarding and offboarding logistics for therapists, including system access, documentation coordination, and administrative setup. Serve as primary liaison with external vendors related to office technology, IT support, and building management. Troubleshoot day-to-day technology or facility concerns and coordinate resolution when needed.

Who We’re Looking For

This role will be a strong fit if you have 8–10+ years of professional administrative experience, bring experience in mental health, healthcare, or a closely related field, and identify strongly as an administrator with people leadership experience. You value service, hospitality, and shared responsibility. You are comfortable stepping into whatever the day requires. You enjoy creating calm, consistency, and clarity through good systems. You want to grow in depth, confidence, and judgment within the role over time. You live in, or feel connected to, the St. Albert community.

Position Details

This is a full-time, salaried, on-site role with three weeks paid vacation, a full benefits package, and a Health Spending Account.

Work Schedule & Flexibility

This is a full-time, on-site leadership role. The Office Manager is expected to be physically present at the Centre for the majority of the workweek (generally 4.5 days per week). From time to time, the role may require occasional evening or weekend work (for example, end-of-month billing or urgent operational matters). In recognition of this, the Office Manager may flex time during the week, in consultation with the Director and in a way that maintains strong on-site leadership presence and operational continuity.
